HILDA — Horizon Integrated Location and Daily Attendance

HILDA ("the App", "we", "us") is a workplace attendance and human resources application used by employees of companies that have licensed HILDA for internal use. This Privacy Policy explains what information the App collects, why it's collected, and how it's used. It applies to the HILDA mobile app (iOS and Android) and its companion web dashboard.

Who provides this app

HILDA is provided to you by your employer as an internal HR / attendance tool. Your employer (the "Company") is the data controller for your employee records; we act as the technical operator of the platform on the Company's behalf.

Information we collect

Data	Purpose
Camera / selfie photo	Captured at clock-in and clock-out to verify that attendance is being recorded by the correct employee.
Precise location (GPS)	Checked at clock-in/out against your company's registered work locations (geofencing) to confirm you are attending from an approved site.
Account & employment data	Name, email, employee ID, branch/company assignment, role, and schedule — used to operate attendance, leave, and payroll features.
Attendance & leave records	Clock-in/out timestamps, time-off requests and approvals, schedule changes.
Payroll & salary data	Where enabled for your role, payslip and salary information — stored encrypted and restricted to authorized HR/finance staff.
Device & push notification token	Used to deliver attendance reminders, approval, and announcement notifications to your device.
Usage & diagnostic data	Basic technical logs (device type, app version, IP address) used for security auditing and troubleshooting.

How we use this information

• To record and verify attendance (clock-in/out, geofence, selfie verification).
• To manage leave/time-off requests, schedules, and approvals.
• To process payroll and payslips where applicable to your role.
• To send you notifications relevant to your attendance, approvals, and company announcements.
• To maintain an audit trail of sensitive actions (e.g. salary access) for security and compliance.
• To troubleshoot issues and keep the App secure and reliable.

Who can see your data

Your attendance and employment data is only visible to authorized personnel within your Company (e.g. your HR team and direct managers), scoped to the company you belong to. Salary and payroll data is further restricted to users explicitly granted salary-viewing permission. We do not sell your personal data, and we do not share it with third parties for advertising purposes.

Data retention

Attendance, leave, and payroll records are retained for as long as your account is active with your Company, and afterwards for as long as required by your Company's internal policy or applicable labor/tax regulations. Selfie photos captured for clock-in/out verification are retained as part of the attendance record for the same period.

Your choices

• Camera and location permissions can be managed from your device settings; note that disabling them will prevent you from clocking in/out through the App.
• Push notifications can be disabled from your device settings at any time.
• Requests to access, correct, or delete your personal data should be directed to your Company's HR administrator, who can assist or escalate to us.

Security

We apply reasonable technical and organizational measures to protect your data, including encryption of sensitive salary fields, access controls scoped per company, and audit logging of confidential data access.

Children's privacy

HILDA is an internal workplace tool intended for use by employees and is not directed at children. We do not knowingly collect data from individuals under the age of 16.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
